We are seeking an experienced Payroll Administrator to manage and process payroll operations for corporate retail stores. The ideal candidate will ensure accurate, timely salary payments while maintaining full compliance with South African payroll legislation and company policies.
Payroll Administrator Key Responsibilities
- Process and manage weekly and monthly payroll to ensure employees are paid accurately and on time
- Perform final payroll runs, generate reports, payslips, and maintain secure payroll backups
- Review payroll documentation for accuracy, completeness, and compliance with internal standards
- Administer and manage the leave system including processing, monitoring, and reporting
- Load staff expense claims and process EFT payments, including salary payments
- Maintain payroll system records including new hires, terminations, transfers, and salary updates
- Handle payroll-related queries and liaise with internal departments and external stakeholders
- Process annual salary increases, bonuses, and adjustments in line with legislation and agreements
- Submit statutory returns including UIF, EMP201, and EMP501 via SARS e-Filing
- Manage COID (WCA) annual returns and payments
- Prepare payroll reports (mid-month and month-end) accurately and on time
- Administer third-party payments (pension/provident funds, union deductions, garnishees)
- Maintain accurate records for all payroll transactions and audit purposes
- Ensure compliance with employee tax legislation and labour laws
- Liaise with retirement fund and medical aid administrators
- Process and manage employee benefits including pension/provident fund administration
- Prepare monthly payroll journals and reconcile salary-related general ledger accounts
- Perform general payroll administration and ad-hoc duties as required
Payroll Administrator Minimum Requirements
- Matric (Grade 12) or equivalent qualification
- Tertiary qualification in Accounting or Finance (advantageous)
- Minimum 5 years payroll administration experience
- Sage300 payroll system experience (essential)
- Experience handling payroll across multiple entities (essential)
- Advanced Microsoft Excel skills
- Knowledge of ESS leave management systems (advantageous)
- Strong understanding of payroll processes and South African tax legislation
- High level of confidentiality and attention to detail
- Ability to work under pressure and meet strict deadlines
- Strong numerical, analytical, and communication skills
